Quick Step!

For frequently-repeated tasks in Microsoft Outlook, utilizing Quick Steps in addition to the standard keyboard shortcuts can improve productivity immensely.

Located towards the center of the ‘Home’ tab of the ribbon, the Quick Step sub menu has a number of default steps available for use in addition to an option for creating and customizing your own by selecting ‘Create New’.

After assigning your new step a descriptive name, choose an action under the ‘Actions’ subheading that corresponds to what you would like the Quick Step to do. In this case, I’ve chosen ‘Move to Folder’.

Now select your destination folder from the dropdown menu. Folder 1 will be my target.

The most useful aspect of creating a Quick Step is the ability to assign a keyboard shortcut to it. Available keyboard shortcuts are Ctrl+Alt+(1-9), meaning a total of nine steps can have an associated shortcut.

After selecting Finish, your new Quick Step will be displayed in the Quick Steps sub menu on the ribbon. Anytime you want to apply that action, simply click that single button.
